VACATION CABINS TERMS/CONDITIONS
Cancellation Policy:
Two weeks' cancellation notice is required for a deposit refund less a $50 administrative fee. For less than 2 weeks' notice, the full payment is required. There are no refunds for changes, early departures or late arrivals with less than two weeks' notice. Arrowmont is a small "boutique" type facility off the beaten track. We recommend you purchase Trip Insurance to avoid any possible problems.

Cancellations must be made by writing an email to reservations@arrowmont.com.
You may call to inquire about a cancellation, but we do need it in writing.  Plus, if you used an online travel site to book, you will need to contact that agency and first cancel your reservation through them.  They do not allow us to do that.  We do not accept cancellations by phone.

Occupancy:
Standard occupancy for the "Queen Cabin" is a maximum of 4 people.  Any children or adults stay free of charge when using existing beds. Extra beds are not available.
The" Small Room" unit occupancy is a maximum of 2 people.
These are No Smoking units.

Internet:
Internet WiFi may be accessed free of charge at the Reception Office at the Stables.  Your unit also has free WiFi access.

Check-In:
You may check in between 4 PM and 6 PM, Monday through Saturday. Sorry, there are no Sunday check-ins. Please present a photo ID upon check-in.

Late Arrival:
If you are arriving after 6 PM, please call and we will make arrangements for you to gain entrance to your cabin.

Check Out:
Check-out is at 11 AM except on Sunday. Sundays have a late check-out of 3 PM.

Deposit Policy:
100% of the First night's rate is charged to your credit card on the day of booking.

Taxes:
There are state and local taxes required. North Carolina Sales Tax is 7% and Jackson Co. Travel & Tourism Tax is 4%.

Payment:
You may use Visa, Mastercard, Discover or American Express to secure your reservation and pay your deposit. Upon arrival, you may pay the balance due with cash or credit cards.

Security Deposit:
A $400 security deposit is required in addition to the cabin deposit. The security deposit is refunded when your cabin is left in good shape. Please help keep our rates down by making sure you wash your dishes/pots-pans before leaving.
If our staff is required to clean your kitchen after you leave, a $50 cleaning fee is charged. Dishes/pots need to be washed to avoid kitchen cleaning fee.

"No Show":
The Full cabin/room rental fee for the full reservation period plus any applicable taxes are charged.

Parking:
There is Free parking on site (reservation is not needed).

Pets:
While we are "dyed in the wool" animal lovers, we simply are too small to set aside a unit specifically for families with pets. We are sorry.

If a pet is found in your cabin, the minimum charge starts at $200 for your pet plus $200 extra for fumigating the unit. This will be charged to your credit card.

The only exception to the "No Pets" policy is if you are camping.  When camping you may bring your pets if you keep them on a leash.  This is important because of our horse ride program.  New animals surprising horses on a trail may cause someone to fall off their horse and be injured.

CREDIT CARD VERIFICATION PROCESS:
We want to clarify one thing about the credit card process.  When you provide your credit card information, we need to verify it through a process called "Pre-authorization".

Sometimes this appears to be an actual charge, especially when viewed on your cell phone.  But it is not.  It is simply guaranteeing the credit card information provided is accurate and the full amount of the rental funds are actually available.  NO funds are transferred to Arrowmont Stables & Cabins at this time.

If you are using a Debit Card this may cause overcharge fees during the verification process.

If you have any other questions about the pre-authorization, just call us.

IMPORTANT INFORMATION REGARDING ALLERGIES
Allergy Information
If you or someone in your group has any type of allergy problem and you still want to reserve a horse for them, PLEASE do not expect to get a refund when, in fact, an allergic reaction occurs and you or the person(s) in your group are unable to ride their horse(s).

It is the responsibility of the person or the parent of the person who has allergies to be aware of this fact. They are responsible for their own health allergy safety and reactions. We are not responsible for a person having a reaction.

I'm sorry but we have to turn away too many people who are not allergic to be able to refund for an allergic incident that may or may not occur.  Please Be Aware.

ARRIVAL TIME
Example for Time to Arrive:
You book a trail ride for 11 AM. You ARRIVE at 11 AM.
When you arrive at the stables at 11 AM, you will:
  • Complete some forms.
  • Then you will be shown where to get your helmet,
  • Next, You are presented with our Safety Program (either by video or live demonstration) which covers how the horses are trained, safety tips, and an opportunity to try your horse out in the ring.
  • Now you are ready to start on your trail ride.
This preparation takes anywhere from 30-45 minutes. So the time that you actually start on your trail ride will be more like 11:45 AM.

The total time that you are at the stables will be at least 45 minutes plus your particular trail length time.

For an 11 AM ride, you DON'T arrive at 10 AM. Everything will start at 11 AM. This is true for each trail time reservation.

Trail Ride Group Policy
A 10% discount is given for groups of 10-14. A 15% discount is given for groups of 15 or more.

Trail Ride Discounts
We value and appreciate our Military and our Public Safety Officers (Policemen). Present your Military/Police ID on arrival and receive a 15% discount for you and your immediate family.  If you pay online, present your ID when you arrive to receive your refund.  When you stay in one of our vacation cabins you also receive a 15% discount on any trail ride you choose.

Deposit:
A Credit Card is used to secure your reservation.

If any changes are needed, call at least 48 hours before your reserved Trail Time if you have 9 or less in your group. If there are 10 or more please give at least 2 weeks for changes or to cancel.

The only exclusion to the 10 or more policy is for the Luncheon Ride. For any number of riders, you need to give 2 weeks' notice for changes or cancellations when booking the Luncheon ride.

At the Stables, you may leave a tip for your Guide via Cash or Credit Card. People generally tip like in a restaurant, 20%.

Safety:
Before every trail ride a safety video or live demo is presented covering how the horses have been trained, safety tips and horse personality. You are then given an opportunity to try your horse out in the ring, and if needed, we will change horses for you.  Please let us know before you leave the ring if you need to change your horse.

Helmets are provided free of charge and are mandatory for everyone.

Plan an additional 30 -45 minutes for the Safety Program. The Safety Program is FREE of charge. We cherish your well-being and believe it is important.

SAFETY REGARDING WEIGHT LIMITS
We have some horses who can carry up to 250 lbs for the walking trails. The weight needs to be proper for your height. For example, a person who is 5 feet tall weighing 250lbs would not be able to go riding. I'm sorry but they simply wouldn't be able to properly hold on with their legs. It is primarily your legs that keep you securely "fastened" to your horse. Your proper balance is also important.

For Walk-Trot-Canter trails, the weight limit is 220 lbs.

To help you understand the weight restrictions…
A horse can comfortably carry 20% of his body weight. So to carry someone who weighs 250 lbs, you need a horse that weighs at least 1250 lbs. That is a huge horse and the top of his back is usually at or near 5 feet 6 inches or more. Your knee would have to come up to your chin just to mount him.

Plus, if you are a short person who needs a large horse to ride, that's a long way to fall if you can't gripe well with your legs. In addition, if you needed to dismount during the ride and get back on in the forest, if would be almost impossible.

Trail Double Riding Policy
For safety and following AMA guidelines, we do not allow double riding of adults and/or children.

CANCELLATION POLICY

If you need to cancel, PLEASE CALL 48 HOURS OR MORE BEFORE YOUR RIDE TIME TO CANCEL OR CHANGE YOUR RIDE TIME TO AVOID CHARGES TO YOUR CREDIT CARD. This is for groups of 9 or less. IF THERE IS LESS THAN 48 HOURS, THERE IS NO REFUND.

14-DAY CANCELLATION PERIOD for groups of 10 or more on Horseback Rides.

For less than 48 Hours or Same Day cancellations, THERE IS NO REFUND.

Please understand about the Cancellation Policy, we need time to replace your reservation with another reservation. We have an obligation to our staff to create enough work to keep them working regular hours, plus the tips. They have families to support just like you do.

The only exclusion to the 10 riders or more policy is for the Luncheon Ride. For any number of riders, you need to give 2 weeks' notice for changes or cancellations.

If you don't show on the day of your reservation or cancel less than 48 hours beforehand for groups of 9 or less and 14 days for groups of 10 or more, THERE IS NO REFUND.

Payment:
Cash, Travelers Checks, Visa, Mastercard, Discover, or American Express may be used. You are charged per person riding.
